AI Training registry
Use the AI Training Registry to list AI-related training your organisation has run or plans to run, and to store proof documents (certificates, attendance, completions, and similar) for audits and compliance reviews.
Open it from the left sidebar: Governance → Training registry.
What you can do here
- Record each training program (name, provider, department, how many people, status).
- Upload many programs at once from a spreadsheet (see Bulk import below).
- Attach evidence files to show that training happened.
- See a summary at the top: how many programs are Planned, In Progress, or Completed.
Two main areas
On the left you switch between:
| Area | Purpose |
|---|---|
| Trainings | Your list of training programs. Add, edit, import, or delete programs here. |
| Evidence hub | All proof documents for training across the organisation. |
Adding many trainings at once (bulk import)
Yes — this is built and ready. Use this when you already ran trainings elsewhere and want to load them into Govern365 quickly.
What happens
- You download the Excel template from the app (blue header row, clear columns, Status dropdown so you pick Planned / In Progress / Completed instead of typing).
- You fill in one row per training program (replace or delete the two grey example rows).
- You upload the same file back into Govern365.
- The system reads and checks each row and tells you which rows are OK and which have problems (wrong status, missing name, duplicate name, and so on).
- You click Import — every OK row becomes a training record automatically. Rows with errors are skipped (you can fix the file and try again).
Important
- The spreadsheet is for training details only, not certificate files. After import, upload certificates and other proof in Evidence hub (or under Edit training → Evidence).
- You can import up to 500 programs per file.
- If a training name already exists in your workspace, that row will not import (to avoid duplicates).
Where to start
Trainings tab → Import → Download Excel template → fill in (use Status dropdown) → Choose file → review → Import.
Adding one training manually
Trainings tab → New training → fill in the form → save.
| Field | What to enter |
|---|---|
| Training name | e.g. AI Ethics Awareness 2025 |
| Duration | e.g. 2 hours, 3 days |
| Provider | e.g. Internal, GAICC, External vendor |
| Department | e.g. Compliance, Engineering |
| Status | Planned, In Progress, or Completed |
| Number of people | How many people attended or will attend |
| Description | Optional notes |
Click the training name in the table anytime to edit it. When editing, you also get:
- Evidence — upload proof for that one program.
- Activity — a short history of changes.
Evidence hub (proof documents)
Switch to Evidence hub to see all training evidence in one place.
Upload evidence
- Upload evidence
- Choose the training it belongs to.
- Add files (PDF, images, Word, Excel, text — up to 10 files per item, 20 MB each).
- Give it a name and type (e.g. Training Certificate, Attendance Record).
- Optionally set an expiry date (for your records — e.g. when a certificate expires). The system does not delete files when that date passes.
Table columns (simple meaning)
| Column | Meaning |
|---|---|
| Evidence name | Title of the proof |
| Type | Kind of document |
| Mapped trainings | Which program(s) it supports |
| Uploaded by / Uploaded on | Who added it and when |
| Expiry | Optional “valid until” date, or blank |
Open a document
- Click the evidence name (or Preview in the menu).
- PDFs and images open inside the app.
- Other file types (e.g. Excel) show a message and a Download file button.
You can attach several files to one evidence item; use the arrows at the top of the preview to move between files.
Viewing training evidence elsewhere
Evidence & documents (main menu) has a Registry evidence section. That is a read-only list of files uploaded from Training registry and Model registry. To add or change files, go back to AI Training Registry or Model registry — not to this view.
Who can do what
| Action | Admin | Editor | Reviewer | Auditor |
|---|---|---|---|---|
| View trainings and evidence | Yes | Yes | Yes | Yes |
| Add / edit / delete trainings and evidence | Yes | Yes | No | No |
| Preview documents | Yes | Yes | Yes | Yes |
Creating trainings and uploading evidence needs an active subscription on your workspace (same as other create actions in Govern365).
Typical workflow for a new customer
- Import CSV (or add trainings one by one).
- Open Evidence hub and upload certificates and attendance proof for each program.
- Use Planned / In Progress / Completed statuses as programs move forward.
- Auditors or reviewers use Preview to view proof without changing data.
