Accept a workspace invitation
When an admin invites you to a Govern365 workspace, you get an email with a link. This page covers that flow — for new users who need a password and for existing users who already have an account.
What you need
- The invitation link from your email. Do not share it; it grants access to join that workspace.
- The link is valid for 48 hours from when it was sent (the app tells you invites expire after that window).
- Use the same email address the invitation was sent to. If you already have a Govern365 account, sign in with that email when prompted.
Opening the link
- Open the link from the invitation email in your browser (or paste the full URL if your email client shortened it).
- The app checks the invitation and shows one of two paths below.
If the link is incomplete or broken, you will see Invalid or missing invite link — ask your admin to send a new invitation.
Path A — You are new (no Govern365 account yet)
The screen title is Create your account. You will:
- Enter your full name.
- Choose a new password and confirm it (same rules as self-serve sign-up: length, letter, number, special character — checkmarks appear as you satisfy each rule).
- Choose Create account & join.
After success you are signed in and taken to the dashboard for that workspace.
If you already realized you have an account, use Sign in at the bottom and complete Path B instead.
Path B — You already have an account
The app detects that your email is already registered. You will see Sign in to accept invitation (or similar) with the workspace name and the invited email shown.
- Choose Sign in to accept invitation — you are sent to Sign in with a return path so you land back on the invite after logging in.
- Sign in with the same email the invite was sent to and your existing password.
After you are signed in, if no password is required for acceptance, the app may join you automatically and redirect to the dashboard. If nothing happens, refresh the invite page or contact support.
Errors and messages
| Situation | What it usually means | What to do |
|---|---|---|
| Checking your invitation… then an error | Invite invalid, expired, or already used | Ask for a new invite; open the full link in a normal browser window. |
| Invalid or missing invite link | The link is incomplete | Use the full link from the email or request a new invite. |
| Sign in with the email address this invitation was sent to | You already have an account | Sign in with that exact email. |
| Name or password validation | A field needs fixing | Follow the messages on the form. |
| Something went wrong. The link may have expired. | Generic error | Try again; if it persists, request a new invite. |
Exact wording can vary slightly.
After you join
- You appear as a member of that workspace with the role your admin chose. See Workspace roles & permissions for what Admin, Editor, Reviewer, and Auditor can typically do.
- You can switch workspaces from the app if you belong to more than one.
- Training (G365): automatic Hub course access after you accept depends on how the workspace was provisioned (admin script grant vs promo vs Stripe checkout). It is not guaranteed for every workspace. See Invites, seats & G365 course access.
